From hiring someone to the IRS saying Accepted
Five stages. Each one says what the firm does and what the platform does, so you can tell before signing up where your time actually goes.
1. Add the employer
- You
- Enter the business, its EIN, its state accounts and its deposit frequency. Sign Form 8655 so the firm can file as Reporting Agent — the platform fills it, captures the electronic signature with its evidence, and faxes it to the IRS.
- The platform
- Validates the EIN and the state account formats, derives the federal deposit schedule, and starts tracking which registrations are still missing.
2. Collect the employee's forms
- You
- Send a link. Nothing to print.
- The platform
- A mobile form walks the employee through their personal data, the federal W-4 and the state form that matches where they work — NC-4, VA-4 or MW507 — and keeps their progress if they close it. It produces a signed PDF for the file.
3. Run the payroll
- You
- Enter hours or confirm salaries, review the numbers, approve.
- The platform
- Computes federal withholding from the W-4 including the multiple-jobs step, each state's own formula, Social Security up to the annual base, Medicare with the additional rate above the threshold, FUTA and SUTA against their wage bases, and any garnishments in their legal order.
4. Pay employees and agencies
- You
- Upload the file your bank expects, or let the employer do it from their own online banking.
- The platform
- Builds the NACHA file for net pay and CCD+ files with TXP addenda for tax deposits. It never holds the money: the employer's bank originates every transfer.
5. File and confirm
- You
- Approve the return. Then read the acknowledgement.
- The platform
- Transmits Forms 941 and 940 to the IRS, polls for the acknowledgement on a schedule the IRS tolerates, and marks the quarter closed only when the answer is Accepted. A rejection comes back with the rule that caused it.
What stays in your hands
- The client relationship, the brand and the domain.
- What you charge. The platform fee does not scale with your clients' headcount.
- The authority to file: signing as Reporting Agent uses the firm's own IRS credential and stays with whoever holds it.
