For accounting firms in NC, VA and MD
Run your clients' payroll under your own name
PayrollPro is the payroll platform your firm operates: your logo, your domain, your relationship with the client. Federal and state taxes are calculated, Forms 941 and 940 go straight to the IRS, and the money moves from the employer's own bank account — never through you.
- Authorized IRS e-file Provider
- Reporting Agent for its clients
- SSA-registered W-2 submitter

The three ways payroll costs a firm money
You send clients to a brand that isn't yours
The client logs into someone else's platform, gets someone else's emails, and learns that the payroll relationship belongs to a company you don't control.
The filing is a black box
You submit through a third party and wait. When something is rejected you find out late, and the correction is a support ticket instead of a change you can make.
The small rules are where the penalties live
A deposit dated from the return instead of the pay date. A due date that landed on a Saturday. A support order that was never withheld — and the employer is now liable for the amount.
Capabilities
What the platform actually does
Every item below is in the product today. Where a step still takes a person, the page says so.
Forms 941 and 940 filed straight to the IRS
The return is built from the payroll that produced it and transmitted through the IRS Modernized e-File system as a Reporting Agent. Nothing counts as filed until the IRS acknowledgement comes back Accepted — the platform waits for that word and shows it.
Withholding for North Carolina, Virginia and Maryland
Each state's own formula, including Maryland's county rates and the reciprocity rules that decide which state withholds. The NC-4, VA-4 and MW507 drive the math, not a flat percentage.
Deposit deadlines computed, not copied from a list
Every deposit is dated from the pay date per IRS Publication 15, rolled to the next business day when it falls on a weekend or federal holiday, and each state's own frequency rule is applied separately — Maryland is measured by its largest quarter, North Carolina and Virginia by monthly average.
Child support and garnishments with the federal limits applied
Title III of the Consumer Credit Protection Act is enforced in the engine: 50 to 65 percent for support depending on circumstances, and the lesser of 25 percent or the amount above 30 times the federal minimum wage for ordinary garnishments. Legal order comes first — levy, then support, then creditors, then voluntary — and anything that could not be withheld is recorded as arrears with its reason.
W-2s for every client in one file
One EFW2 file carries every employer the firm serves, in the format Publication 42-007 specifies for a third-party submitter, including the tax year 2026 records for tips and overtime.
State wage reports and reconciliations, generated
The quarterly wage file for North Carolina's unemployment system, the NC-3 annual reconciliation, and Virginia's VA-6 and Maryland's MW508 are built from the payroll that is already in the system — byte for byte against each agency's published layout.
A payroll, start to finish
- 01
Set up the employer once
EIN, state accounts, deposit frequency, bank accounts. The employee fills in their own W-4 and state form from a link and signs it electronically.
- 02
Run the payroll
Federal, state, FICA, FUTA and SUTA are computed per employee with the wage bases and caps applied. You review real numbers before approving — not an estimate that changes later.
- 03
Pay people and agencies
The platform builds the NACHA file for net pay and the tax payment files. The employer's bank originates both, so the money never passes through your firm.
- 04
File, and read the acknowledgement
Forms 941 and 940 are transmitted to the IRS. A submission ID means received, not accepted — the quarter is only closed when the acknowledgement comes back Accepted.
Built on the parts that are hard to get right
Wage bases that carry over when a client switches providers mid-year. Deposit dates that follow the pay date and roll off weekends. Garnishment limits taken from the Consumer Credit Protection Act rather than a flat percentage. These are the places where payroll quietly goes wrong, and they are where most of this product lives.
